Groupware
A groupware is a software system which makes it possible a group of people to divide remote documents.
According to Jean-Claude Courbon, the “groupware is the whole of technologies and the associated work methods which, via the electronic communication, allow the division of information on a numerical support a group engaged in a groupware and/or co-operative”.
According to Peter and Trudy Johnson-Lenz, the “groupware is the whole of the processes and procedures of an work group having to achieve a particular goal plus the software conceived to facilitate this work of group”.
The general Commission of terminology and neology adopted software term the “of work group” (shortened form: “software of group”, published with the Journal officiel de la R3epublique fran1caise). A translation could have been “software of groupware” or “collecticiel”.
Reasons to create the groupware
-
With settings in files automated, the communication by the email alone quickly becomes ingérable.
- the newsgroup such as one finds them on Usenet represent a progress, but the access to information is insufficiently structured there.
- simple divided files quickly becomes too complex to manage
- It is essential to have a mechanism making it possible to divide a calendar, lists of tasks to achieve (with possibility them of delegating ) together with date-stop , and to organize in an automatic way of the meetings by automatic consultation of the free beaches of each one (with automatic reservation of the meeting room or the rooms of teleconference also).
Classes of operation
-
the work groups can be of two types: open (any interested person can join to it) or closed (the list is consisted one or more administrators and is altered by it only by them. There of course remains always the possibility of sending email to an administrator to be allowed in the group if this one is visible .
-
a small group can also be visible or invisible with those who are not members. A group working for example with the development of a strategic prototype can not wish to make its activity public.
-
Lastly, of the groups can be also closed with regard to the writing, but open with regard to the reading (when the advance of an work group is returned public to request suggestions) or the reverse (if an electronic kind of hot-line is opened, each one can write there, but the members of the group of support alone can initially read them, for questions of respect of the confidentiality of the questions).
The replication
An essential aspect of the groupware is the question of the replication: a member of the group can have to travel with his laptop. So during its voyage it is isolated from the group,
- the whole of the work of the group at the time of its departure must be at its disposal on its hard drive
- it must have the possibility of contributing shares to the existing work, which will be transmitted remotely
- as of its return, in same time that its additional work is sent to the group, the whole of its data must be given to the level of the group, which continued to work in its absence on the network.
Divided diaries
This software makes it possible to find a time slot for a meeting - physics or virtual - in some clicks, and without disturbing the people concerned. Each employee between indeed his diary in a great shared base: information is accessible to the unit from the work group.
For functioning well, such a tool requires the detailed update of all the diaries, but this objective is seldom achieved in company. Indeed, the users cannot note on this diary that their go official.
Types of groupwares
It is necessary to distinguish two families from groupwares: groupwares of collaborative transport like Exchange, Mdaemon or desknow, of the directed groupwares project (projectware) like Chronopolys or sharepoint.
The knowledge robot of Transport and groupware more used by the great groups in the world remains Lotus Notes Domino from IBM which can be used in heavy Client or light Client since it integrates a Moteur Web. A great number of GED are developed under this software.
